Integrating Podium with Jewelry Shopkeeper

If you have a Podium account (www.podium.com), Shopkeeper can provide additional ways of initiating a Podium review request at appropriate times in the sales and customer-interaction process.

The moment after you print a sales receipt or a repair ticket is often a good time to propose sending a review request. Presumably you've satisfied the customer and it seems appropriate to request a review while the good sales experience is fresh in mind.

If you have entered the Podium credentials, the Review Request pop-up will automatically appear after the receipt or repair envelope is printed.

If either the email address or mobile phone number is missing, you can fill it in at this time. Either one is enough to send a request, but this is a good time to verify that you have both contact methods.

Filling in or changing the email or mobile will update the customer records.

If you check the Use box for both methods with the request, Podium will generally use the mobile phone number.

If a customer specifically prefers that you use the email method, uncheck the Use box by the mobile phone number, but do not erase the mobile phone number. This selection is for just this one invitation; it's not a permanent choice.

Note that if you have filled in the spouse / S.O. information, you can choose whether this particular review request will be sent to the primary name (and primary mobile or email) or the spouse's name (and mobile or email.)

That way you can avoid sending a text request to Mary at work if John is the one who just made the purchase.

A log of previous review requests is shown at the bottom - but only requests initiated via Shopkeeper are shown, not those from the Podium program.

If you see that a request was sent recently, then there's little point asking the customer if they would like to review. If you send a new request anyway, Podium would not send the request if it's too soon.

After you choose Send, you will receive Podium's response, which could be OK if Podium was able to send the request, or it could be an alert about a duplicate request, an invalid phone number or any other problem.

Note:
You can delay sending the request for a number of minutes if you'd prefer not to send the request at the exact second that the customer is still in front of you. The pop-up Podium request window can be moved to a corner of the screen, or you could minimize it, and you can continue to do other work in Shopkeeper and return to the Podium pop-up in a few minutes. If you forget about it, it will reappear after a few minutes. You can have more than one review reminder pop-up pending at the same time. However, you should send the requests before completely exiting Shopkeeper.

If you want to send a "manual" request at a time other than just after printing a receipt or a repair ticket, when a customer transaction is in the sales screen, at the top, choose Options, then More Options, then Podium Review Request.

Whenever you have a customer profile selected in the Customer Maintenance screen, you can send a "manual" (non-sale or non-repair-related) review request.

Choose Options, Podium Review Request and the same pop-up Podium window (as above) will appear.

The options for a manual Podium Review Request will not appear if you do not have your Podium credentials entered in Preferences.

If you have certain customers who should never be asked for a review request automatically, retrieve their profile in the Customer Maintenance screen and add the key words anywhere in the customer Notes box (with the square brackets, upper- or lower-case.)

While the automatic at-sale pop-ups will be turned off for this customer, you could still send a manual request, but even for a manual request you will be reminded of their preference for no invitations.

Type in your Location ID and Authorization Key, from your Podium sign-up documents or from your Podium representative.

Note that starting in 2023, the Location ID format was change to a Universal Unique ID format which is formatted like this:

 xxxxx1dd-xxxx-xxxx-xxxx-xxxx253d00bd

The Podium Options can be left blank or certain combinations of Key Words can be filled in such as FINALIZED and/or 20 DAYS.

Including the word FINALIZED to the Options box chooses to request an automatic Podium pop-up in Shopkeeper only when a sale is finalized and delivered - not just on a repair drop-off or a layaway payment.

Adding the phrase 20 DAYS (or 45 DAYS, etc.) to the Options box will prevent automatic Podium pop-ups in Shopkeeper from reappearing for the same customer within 20 days (or 45 days, etc.) of a previous review invitation.

Since Podium has its own internal duplicate request feature, even if you initiate a request via Shopkeeper, Podium would prevent the too-soon duplicate if it has been less than, say, 60 days. Check with your Podium rep to learn if you can change the no-repeat duration that they impose.

If you add the word OFF at the beginning of  the Podium Options box, that will temporarily turn off the automatic pop up of the Podium review request screens when finishing sales or repairs.  Remove the word OFF when you want to resume auto pop-ups. That could be useful, for example, if you prefer to send requests only at certain times but you don't want to remove the Podium credentials from this page. If you have a network of multiple computers, note that this affects all computers. See the Local Defaults options below for differentiating between computers.

Regardless of these settings, you can always manually send an invitation request either via Shopkeeper or via the Podium program.

You may have more than one Podium account for different stores that share a single big Shopkeeper data-set. In that case, you will want to select an alternative set of Podium Credentials independently at each computer. You still want to enter the primary set of credentials on the main page as noted above, and then for any computer that should use a different set of credentials open the Local Defaults p.2 in Preferences and in the box "Miscellaneous Options for Just This Computer", add the following words (before or after any other words already in the box:

PODIUM KEY "XXX-YYY-ZZZ" PODIUM ID "123456"

Where you add your own Podium authorization key and Podium Location Id between the quotes, and you would include the quotes, too.

If you want to turn the off the automatic pop up of the Podium review request screens when finishing sales or repairs at certain computers, from this same Local Defaults page, in the box "Miscellaneous Options for Just This Computer", add the following words (before or after any other words already in the box:

 REVIEWS OFF

To reinstate the automatic pop-ups, remove these keywords

Regardless of these settings, you can always manually send an invitation request either via Shopkeeper or via the Podium program.
